Routing jobs for transcription in a clinical setting or transcription service business is generally seen as an onerous and time consuming process involving determining the best person to match the often odd characteristics of a dictator’s specific style and preferences. Adding complexity to this task is trying to determine what dictations should be typed “first” as dictations continually stream into your dictation capture system. You probably spend a good part of your day selecting what jobs should go to what user and who should do what next, and then finding out that they had to leave early and re-assigning those jobs to yet another person. There should be some way to automate the process so that little manual intervention is involved…Well, happily there is, in the Atom/Fusion Dictation system there is a feature called “Routing Groups” that allows you as an administrator of the system to predefine who gets what dictations and the order that they receive them in. Sometimes Routing Groups are called work pools, and although similar in concept to traditional work pools they are much more powerful.
Routing Groups are a mechanism that allows the dictation system to determine, by rules that you enter, when and how to route jobs. Unlike other systems a defined Group does not assign all the work for one day to transcription user, it uses point in time assignment to match the best eligible dictation to the best user. So there is no going back to the system and assigning “Stat” jobs since the rules you define will always bubble these jobs to the top for assignment to the next available transcriptionist. Of course you can still from the system management software route a specific job to go to any particular transcriptionist first by simply selecting it and setting it to “routed”. This allows you to override the rules defined in your route group without having to change them.
Transcriptionist are assigned to a base group, you can change this assignment at any time through the system management software. You can even embed a group inside of another group in a way called linking. So if all of the jobs matching one group are completed the system can then scan through and assign from the next available group. If a transcription user is off for the day and not connected to the system they are not assigned any jobs until they log in again.
